We are currently looking to recruit a PA, reporting to the Senior Executive Assistant. The role will be based at our International Headquarters in Uxbridge.

What is this role all about?

This position will successfully provide comprehensive PA secretarial and administrative support to three key VP’s/Senior Managers (HR International, Revenue Management, Finance).

Primary Duties and Responsibilities

  • Proactive Diary and calendar management - ensuring the organisation and management of VPs’ diary commitments and time in a robust and efficient manner.

  • Liaising with Senior Management team and other members of the company and associated companies as required.

  • Event and business trip management including planning, preparing and arranging all international travel via online tool Concur - flights, trains, visas & hotel bookings, timely and cost effectively.

  • Prepare and maintain expense reports via online tool Concur for VPs.

  • Manage the PO requisition system online efficiently and effectively liaising with all parties including Dublin Accounts on a regular basis.

  • Taking and acting upon messages for VPs.

  • Taking and drafting minutes, as required, for circulation in an accurate and timely manner.

  • Managing all post including prioritising and ensuring that correspondence is directed as appropriate.

  • Arrange 121’s on as individual basis with direct reports and peers.

  • Co-ordinate meetings and meeting rooms.

  • Arrange hospitality for internal team meetings.

  • Meet and greet visitors on behalf of the VPs/Senior Managers.

  • Provide admin support to managers, leaders and VPs where required.

  • Provide cover and support to the Senior Executive Assistant and Executive Assistant.

  • Any other ad-hoc duties as required.

  • Positive and flexible attitude towards work and hours

  • Previous PA experience supporting multiple VP’s/Senior Managers

  • A confident self-starter with high levels of self-management & drive

  • Self motivated and a team player with a proactive approach to workflow

  • Good organisational and time management skills, ability to work under pressure and to tight deadlines

  • Excellent communication at all levels, both verbally and in writing

  • Excellent telephone manner

  • Must be highly organised with excellent attention to detail

  • Ability to apply discretion

  • Must be able to multi-task

  • Strong IT Skills including good knowledge of Windows Operating System, MS Word, Excel and Power-Point

  • Previous experience using Concur would be advantageous
